This AERC Online Sanctioning form site provides the following services:
- Sanctioning request submission to the office and Sanctioning Director(SD) on-line
- E-mail notification of approvals/rejections to Office, SD, and Ride Manager(RM)
- Logging of time/date of each step
- Immediate display of how your ride will look in the on-line posting and in Endurance News
- Display competing rides in your region and adjacent regions in a +/- 2 week
window around your selected date.
- Display of possible rides from the previous year in the same window that may have a prior
call on this years date
- Initiation of changes such as location, date, distance for office and SD approval
- Ability to add your website listing and extra information about your ride to the on-line listing

Notes about these services.
- Sanctioning request initiation:
- You start at the AERC home page and click on Member Login in the upper right.
- Place the cursor on Ride MGT in the green bar and click on "Start a New Ride" in the pulldown menu. You chose this even if you are re-sanctioning a ride.
- This will bring up a screen with "Mandatory" in Red for items that will be needed for a new ride. These will be filled in as you
request the
ride.
- You may either copy(re-sanction) a previous years ride to get most of the information and modify it or you
can start
a new blank ride(Basic Ride Info) where only the RM is filled in. Re-sanctioning is initiated by clicking on the Ride Re-sanction link on the left and entering a
single word from the name of the
previous years ride - then selecting the one you want from the list.
- For a new ride - click on "Basic Ride Info" and fill in the fields.
- On selecting a title - If the ride is Pioneer, FEI, or Elevator - indicate that in the ride title
- Note the Special sanctioning restrictions at the end of these instructions
- Initiating a ride:
After either re-sanctioning a ride or selecting Basic Ride Info for a blank ride - you enter/modify the
information displayed.
- If your ride is a Pioneer, Elevator, or FEI ride - we suggest that you note this in the overview with the word Pioneer, Elevator,
or FEI.
- If you are re-sanctioning from a previous ride - you can change the start times, vets, distances clicking on the link next to the item
- If the ride state is different than the ride manager or correspondence address - you need to select the Ride State.
- Note that Overview, Ride Description, and Directions are on-line displays only- they will not appear
in EN.
These fields do not need to be filled out now and can be added later after approval. But if you can enter them now - please do so
- Click OK at the bottom of the Basic info page when done
with this section to save your data
- Entering Distances:
After selecting Distances - you either edit or remove the copied distances from last year or add new
distances.
- If the ride is only one day - you enter all the distances by continuing to add until complete. Chose Limited Distance from the Pulldown menu for LD and Standard for regular endurance rides. For a 2-day 100 - enter 2 for days.
- Description is a field
to add additional information that will appear only on-line. For example From XX to YY
- If the ride is 2 or more consecutive days but not a Pioneer ride, you might want to identify this in the distance
description field, but you will not need to create a separate ride request.
- If the ride is a multiday Pioneer(must be at least 3 days and 155 miles) - then you will make only one sanctioning
request but when entering the
distances - you will chose Pioneer from the Type and have a distance for each day.
- Enter the number of Vet Checks and the distance between them. Do not count the start and finish as vetchecks.
- When done - click on the Managers at the left for the next step
- Entering Managers:
- By default you will be selected as the manager. You can add an alternate manager by entering a single
word to find
other AERC members that can be selected. The word can be a first or last name or a portion of a name.
- Select #2 for the alternate manager
- Click on Vets for the next step
- Entering Vets:
- Enter a last name or a first name or part of a name. Do not enter more than one word. Spaces will not work. The list will display all AERC vets.
You can select up to 3 vets by clicking on #1, #2, #3 for each.
- If you do not chose or know the vet at this time - enter a placeholder vet that you will change thru the office once you have one. The program needs a name to complete. You can also call the office to have TBD entered once the ride is sanctioned.
- Click on Review Request next
- Reviewing the request
At this point - you see the data you have entered and by scrolling down you can see competing rides
within your region
or adjacent regions that are either already sanctioned or pending sanctioning. You can also see rides
from previous
years that may have a prior call on the date even if they are not sanctioned yet.
- Preview Request
From Review - click on the taskbar to go back to the ride request and clcik on Preview on the left.This will show you the ride as it will appear on-line and in the EN. If you need to make changes - then
return to the
appropriate sections.
- Printable allows you to print out a copy of your request locally. Back will take you back to the menu.
- If you don't complete the sanction request in one session - when you return - you will find the ride under "Your Rides" - not under "Start a New Ride".
- Submitting the ride request
- In the left area under Manage Your Ride - click on the home link. This is not the Home in the green bar.
- The sanctioning amount that needs to be paid to the office by check or credit card is indicated on
this page. Note this
amount if you plan to pay by check.
- Click on Submit Request in the upper left menu
- Select pay by credit card with the appropriate info or choose check if you chose to send it in. You may also choose check and then call the AERC office with your credit card number at their toll free number.
- The office will not approve the sanctioning request until the credit card transaction has cleared or
the check has
been received and deposited. Credit card is by far the fastest method.
- Click on the OK at the bottom of this page. Do not click on Submit Request at the left again. You may have to scroll down the page to see the OK button. When complete "Request Submitted" will appear in the left area.
- After the request is submitted:
- You will receive either an approval or rejection(with explanation) by email as soon as the SD does
either on-line.
- If a rejection - they may ask you to modify some information - such as select another date.
- You will login to your member page and select "Your Rides" not Sanction a New Ride as you did before and make the necessary changes and resubmit. Pending/approved rides
are listed
under Your Rides.
- Status will also be shown on the Status link. Click on Your Rides -
then select the ride by clicking one on it. Then click on Status in the
upper left frame.
- Special sanctioning:
If you have a ride that meets any of the following criteria - then you need to submit a normal paper
request at least
180 days prior to the ride and get BOD approval unless the ride already has received special sanctioning
approval for
the prior two years.
- The ride is greater than 3 days (multi-day).
- The ride is only 3 days, but greater than 150 miles (i.e., 155 miles/up)
- The ride has "special qualifications", i.e. minimum weight to be carried, required dress code,
restrictions of any kind.
